Payroll Releases New Recruitment Workflow Feature to Streamline Store Hiring and Reduce Administrative Burden on Store Managers
Payroll has launched a new workflow feature designed to streamline recruitment processes for retail and part-time staff.
Payroll Inc. (Headquarters: Koto-ku, Tokyo; Representative Director and CEO: Tetsuya Yuasa; hereinafter "Payroll"), provider of the payroll service "HR BPaaS," released a new recruitment workflow as an optional service on Sunday, March 29, 2026, designed to reduce the on-site burden on store managers during the hiring of part-time employees.
This service provides an end-to-end solution, starting with an "Application Registration" feature where applicants input essential information such as date of birth and nationality, followed by "Recruitment Status Management" for store managers and supervisors (SVs), and an "Onboarding Information Application" feature for successful candidates.
Based on the application data, the system automatically determines if the applicant is a minor or a foreign national and identifies the necessary documentation. By enabling part-time applicants to provide information accurately and smoothly, the system reduces the manual labor and specialized labor-law knowledge required by store managers and SVs, allowing them to focus on their core business of store operations.
Regarding optional services for part-time employees, Payroll plans to release additional features in April 2026 to support social insurance enrollment and termination eligibility, with continuous updates planned for the future.
Overview of the Optional Service
The service consists of the following four features:
Application Registration: For Part-time Applicants
Applicants scan a store-specific QR code to access a dedicated page and enter basic information. By registering their name, date of birth, and nationality, the system automatically determines the documents required for hiring and notifies the applicant.Recruitment Status Management: For Store Managers/SVs
Managers can register the "pass/fail" or "withdrawal" status of applicants for stores under their authority and track the progress of subsequent onboarding applications and hiring orders. Sorting by store name and other criteria helps prevent oversight.Onboarding Information Application: For Part-time Applicants
Successful applicants can submit information required for payroll, such as commuting routes and bank account details. Minors and foreign nationals can upload images of required documents, ensuring a user-friendly experience.Hiring Order: For Store Managers/SVs
Managers verify the documents submitted by minors or foreign nationals and then register the start date and issue an employee ID. This supports compliance with legal requirements for hiring minors and foreign nationals while minimizing manual input, allowing managers to focus on maximizing store sales.


For environments where web-based applications are difficult, paper-based forms are also accepted and processed by Payroll’s BPO center. By offering both web and paper options, the service supports a wide range of store business models.
Background of Development
Previously, Payroll offered optional services that allowed store managers and SVs to perform hiring tasks similar to those for full-time employees. However, because these tasks required labor-law knowledge equivalent to that of HR professionals at headquarters, it often led to errors in busy store environments. Following numerous requests from clients and detailed interviews, we developed this new workflow to minimize the input burden on managers, thereby improving operational efficiency and allowing them to focus on store profitability.
Future Outlook
These optional services are developed as part of a systematic improvement initiative. Beyond enhancing existing services, we plan to release UI updates and features for social insurance eligibility determination and application processing starting in April 2026.
