Sansan Inc., which provides AX services that change the way we work, has enhanced the contract period management function in its transaction management service 'Contract One'.

With this update, when a contract period is changed or canceled by an additional contract such as a memorandum, the latest period and contract status will be automatically reflected in the original contract's information. Consequently, the delivery date of the alert email notifying the contract end date is also automatically updated, enabling users to effortlessly manage contracts based on an always-accurate contract period.

■ Background of the Provision
When changing the contract period stipulated in a contract, the original contract cannot be modified directly; instead, a new contract such as a 'memorandum' is concluded to change the period. Therefore, to accurately grasp the contract period, it is necessary to manage multiple contracts together: the original contract (parent contract), such as a basic agreement, and the contract stipulating the changes (child contract). As a result, verifying the contract period is time-consuming, and there was a risk of accidentally renewing a contract due to missed checks or unintentionally rendering a contract invalid. In fact, our own survey revealed that many people have experienced misunderstandings because they failed to grasp the changes in contract details (*1).

We developed this feature to solve these issues and enable accurate management of contract periods.

■ Overview of the New Feature
Contract One digitizes contract information such as contract end dates, presence of automatic renewals, and renewal periods, automatically classifying and displaying the status of each contract as 'Active', 'Terminated', etc. (*2). It also features a function to send an alert email to the person in charge notifying them of the contract end date.

With this update, when concluding a child contract like a memorandum to change or cancel the contract period, the details will automatically be reflected in the parent contract's status and alerts. Users can manage contracts based on the latest contract details at all times without having to manually update the information.

This feature was realized through joint development with our group company, Language Understanding Institute Co., Ltd., which has been researching and developing natural language processing for over 40 years, and a patent is currently pending.
