This feature allows users to automatically control the release and unrelease of documents and rooms by specifying the start and end dates and times for their visibility, eliminating the need for manual switching by marketing and sales personnel.

"immedio Box" is a tool that visualizes "when, which page, and for how long" customers view documents, videos, and office files sent to them, and notifies sales representatives in real-time. It allows users to gauge the interest level of prospective customers (Note 1) based on their document viewing behavior and follow up at opportune moments. The newly released "Limited-Time Release" feature enables users to set a start and end date and time for the visibility of documents and rooms (Note 2). If access is attempted outside the set period, an announcement message will be automatically displayed instead of the viewing screen.

This allows marketing and sales staff to automatically release and end content such as webinar (Note 3) materials, campaign content, and post-meeting proposals at the appropriate times, without being burdened by the manual task of switching visibility.

Background of Feature Development

There is a significant need to release materials such as same-day documents for webinars, campaign bonus content, and proposals sent with a deadline after a business meeting only for specific periods.

However, until now, staff had to manually switch the visibility of these materials, leading to operational issues such as documents remaining accessible past their deadline due to forgotten switches, or content not being released on time when it should have been.

The new Limited-Time Release feature reduces the management costs associated with document and room visibility through scheduled time settings.

Automatic Control from Release to End Prevents Omissions in Document Sharing

Both the start and end release dates and times can be set, or only one of them. This allows for management tailored to the purpose of the content, such as pre-release, limited-time release, time-bound release, and continuous release.

Setting both start and end dates/times → Release only during the specified period

Setting only the start date/time → Continuous release from the specified date/time onwards

Setting only the end date/time → Release until the specified date/time

No settings → Always public (no time limit)

Settings are completed by selecting the target document or room from the immedio Box management screen and entering the start and end release dates and times. If access occurs before the period, a message will be automatically displayed informing the user of the start release time, and if access occurs after the period, a message will be displayed informing the user that the release has ended.

Use Cases

Limited-time release of webinar archives

By setting a release period for archive videos and related documents released after a webinar, the viewing period can be automatically controlled. Even when guiding viewers to an archive with a "one-week viewing period from release" for applicants, manual switching is unnecessary if the start and end release dates and times are set in advance. If access occurs after the period ends, a message automatically informs the user of the end of the release, making it useful for managing limited-time content and guiding viewing periods.

Management of content for limited-time campaigns

By preparing documents and rooms in advance according to the campaign period and setting the start and end times, the switching between public and private status can be automated. This eliminates the need for manual management, reducing the risk of forgetting to release or unrelease content, and enabling content provision aligned with the campaign period.

Sending proposals with deadlines after business meetings

By setting a release period for proposals and quotation documents sent after a business meeting, the risk of outdated information being referenced is prevented. If access occurs after the deadline, a message is displayed to the recipient informing them of the end of the release, which can also be used as an opportunity for re-proposal or follow-up.
