Challenges of reception work with paper binders
At many beauty salons, such as hair salons and aesthetic salons, it was common practice for first-time visitors to be handed multiple paper binders to fill in their name and address, answer detailed counseling sheets, and sign treatment consent forms.
However, this analog method presented significant challenges: "customer information management is difficult," "staff have to spend time organizing information after business hours," and "the filling process is troublesome for customers."
Castfile has integrated these input tasks into a single digital flow.
By simply following the on-screen instructions and completing the input and signature once, all information, from personal details to consent form signatures, is automatically reflected in the medical record. This completely eliminates the need for staff to decipher handwritten text and transcribe information, achieving paperless operations and significant operational efficiency at once.
Three registration flows selectable according to salon operations
Furthermore, to flexibly accommodate each salon's customer service style and facility conditions, we have prepared the following three registration approaches:
① Register by handing over the salon's device as is
This is a basic method where customers are handed a tablet device such as an iPad or a smartphone, which is always available at the salon, to input their information. This is ideal for customers who do not have their own smartphone or elderly customers who prefer to input on a larger screen.
② Register by scanning a QR code with the customer's smartphone
This method involves customers scanning a dedicated QR code displayed on the salon's device with their own smartphone camera. Since customers can input using their familiar device, input speed is improved. Also, if this QR code is printed and placed as a POP in waiting areas or at styling stations, customers can complete registration themselves during their waiting time.
③ Pre-register by sending a dedicated URL before来店
This method involves issuing a dedicated registration URL to customers and sending it in advance via LINE or DM when a reservation is confirmed. Customers can complete registration at their convenience, such as at home or while commuting. On the day of their visit, all troublesome administrative tasks are skipped, allowing them to immediately start high-quality counseling and treatments, which directly leads to improved customer satisfaction.
Having observed numerous salon sites, we have witnessed staff exhausted by "feeling sorry for making customers wait for a long time to fill out forms" and "endless medical record organization after business hours."
The registration function introduced this time and the three approaches selectable according to the on-site situation were born from such real SOS calls from salons.
