Altius Link, Inc. Background and Challenges Dentsu Operation Partners outsourced its back-office operations to our company against a backdrop of business expansion and the need to strengthen Business Continuity Planning (BCP). Subsequently, the operations previously managed in Dalian, China, were transferred to our Vietnam base with the goal of building a more strategic and long-term structure. The scope of work is diverse, ranging from digital advertising effectiveness verification reporting and ad submission support to finance and human resources/labor management—all of which require a high level of expertise and accurate judgment. In executing these sophisticated tasks at an overseas base, the challenge was to "create a mechanism that achieves business efficiency while maintaining the same quality level as in Japan."

Results and Key Points of the Initiative - Business Standardization via Proprietary Work Procedures We created Standard Operating Procedures (SOPs) that are more detailed than typical manuals, breaking down and visualizing work processes to standardize operations. This has enabled even new employees to perform tasks at a consistent quality level. Furthermore, the use of SOPs has reduced training periods by 25%, establishing a system where staff can contribute effectively to the field at an early stage.

- 50% Reduction in Processing Time and Stable Operations Despite a 5.3x Increase in Workload In addition to business standardization via SOPs, we have implemented optimal task allocation based on staff skills. Through these efforts, we have reduced the processing time for the entire accounting and finance process by approximately 50%. We have successfully built a stable operational structure even while the workload increased by 5.3 times.

- Realizing High-Value-Added BPO by Securing Highly Proficient Japanese Speakers In recruitment interviews, we conduct email writing tests in addition to oral interviews to select candidates who can express the attentiveness and consideration required in Japanese business settings. Furthermore, through joint lectures with local Vietnamese universities and referral hiring, we consistently secure high-level Japanese-speaking talent. With this structure, we handle advertising effectiveness visualization and document creation on behalf of Japanese sales representatives, providing value-added business support that goes beyond simple task delegation through detailed communication in Japanese.
