■ Background - Advancing AI Utilization in Rental Property Management
Rental property management involves numerous daily tasks, including responding to residents and owners, contract management, and tenant screening. These tasks involve a mix of standardized confirmation work and judgment based on the担当者's experience, making it challenging to balance efficiency with quality maintenance.
Teikoku Real Estate handles everything from land acquisition and design/construction to rental property management in-house. However, information regarding residents, owners, and properties was managed separately by different departments, making cross-departmental data utilization difficult.
To address this challenge, the company in-house developed its core system in 2023 to integrate internal data. Leveraging this foundation, the AIX Promotion Office was established in July 2024 to build a support system for business operations using AI.
■ Session Content
The session featured three companies: Teikoku Real Estate, Youme Class, and Nihon Agent, with Ms. KOUCHI Rin from Zenchinsou serving as the moderator.
From left: Moderator Ms. KOUCHI Rin, Director and Editor-in-Chief of Zenchinsou; Mr. TAMURA Yuki, AIX Promotion Office, Teikoku Real Estate; Mr. HIGUCHI, Senior Managing Executive Officer, Nihon Agent; Mr. KIKUCHI, Section Manager, Smart Technology Promotion Office, Youme Class.
Youme Class presented AI use cases aimed at improving sales capabilities, explaining how AI role-playing and internal chatbots are used to enhance the proposal skills and support the work of younger employees.
Nihon Agent shared AI use cases directly applicable to on-site operations, such as voice role-playing for resident inquiries and automated report generation for owners.
■ Teikoku Real Estate's Presentation
Teikoku Real Estate introduced its efforts to improve operational efficiency using its proprietary AI platform, "ACAT," which is available through its internal communication tool. "ACAT" implements AI specialized for business operations, utilizing internal data and manuals for tasks such as document creation and minute-taking, creating an environment where all employees can use it in their daily work.
During the session, a live demo screen was shown illustrating AI utilization in tenant screening. Previously, confirming application details and matching conditions required significant time. By using AI to assist with necessary document verification, content matching, and scoring, the company expects to reduce the processing time per application from approximately 60 minutes to about 10 minutes.
The platform also includes a function to search internal manuals and past cases across departments, contributing to the standardization of service quality.
AI utilization themes are prioritized based on on-site interviews, with scoring for reduction effects and financial impact. By implementing high-return-on-investment themes first, the company anticipates an annual reduction of tens of thousands of man-hours and a financial impact of several hundred million yen.
During the session, Mr. Tamura stated, "The essence of AI strategy is not personnel reduction. It is important to maximize output by growing sales and profits with a lean team, while maintaining the current number of employees." He emphasized the company's approach of reallocating time generated by AI to tasks that require human engagement, such as customer interaction and investment decisions.
■ AI Utilization Philosophy Discussed in the Session
The session also included discussions on "How to permeate AI utilization into the field."
Ms. Miho KIKUCHI (Youme Class Co., Ltd.):
"Initially, we held study sessions online, but we couldn't gauge everyone's understanding or engagement level. It was only when we visited each sales office and met the staff face-to-face that we truly understood their comprehension. By explaining things in a way they could understand, through very analog and persistent efforts, we were able to grasp the staff's IT literacy. Since then, we've stopped using difficult jargon in study sessions and focus on explaining practical applications in the field."
Mr. Yuki TAMURA (Teikoku Real Estate Co., Ltd.):
"Management's backup is absolutely essential. However, DX and AIX promotion cannot permeate the field through top-down directives alone. That's why we emphasize a bottom-up approach that stays close to the field. We conduct interviews with each department, organize use cases, and the AIX Promotion Office leads the creation of manuals. By having field leaders disseminate this information, we consciously try to build 'fans' within the field little by little."
Mr. Takayuki HIGUCHI (Nihon Agent):
"When we experimentally held a generative AI course internally, the first theme was 'Create a Google Form in 5 seconds using GAS.' However, some participants had never even created a Google Form before, making us realize that the level of understanding and experience with IT tools varies greatly depending on their job and area of responsibility. While it's ideal to create an environment where all employees can utilize AI equally, we feel there's a definite gap between those who learn proactively, such as paying for premium GPT or attending study sessions on their own, and those who simply use what's provided. We believe it's necessary to proceed with these differences in mind."
Common to all three companies was the emphasis not just on introducing AI, but on ensuring it is "actually used" by tailoring it to the field's understanding and actual work practices.
■ Future Outlook
Teikoku Real Estate will continue to leverage AI and data to enhance productivity in rental property management and improve customer service quality. The company also plans to integrate its proprietary rental price database with AI to improve the accuracy of data-driven investment decisions. By establishing an operational foundation that relies less on individual judgment, they aim to provide valuable real estate management services to owners, residents, and employees.
