- Background of Implementation -
CTI, as a comprehensive construction consultant, undertakes surveys, planning, design, and maintenance work from the national government and local municipalities, engaging in infrastructure and urban planning nationwide, including rivers, roads, and urban development. The company requests assistance from partner companies with specialized knowledge depending on the business content, currently registering and managing about 1,500 partner companies. Furthermore, including branch offices nationwide, there are 30 to 40 new registrations occurring monthly.
Previously, for new registrations, partner companies mailed required documents such as participation applications and corporate registry certificates to the engineering departments of each CTI office, which were then submitted and approved via an internal workflow. In this operation, if documents were returned due to missing attachments or blank sections, it placed a burden on both the engineering departments and the partner companies. Moreover, paper-based management limited the information that could be registered in the database, causing issues such as the inability to quickly utilize necessary information and difficulties in sharing information between offices. Furthermore, from a BCP (Business Continuity Planning) perspective, a review was required due to the need to secure document storage space and the risk of documents being lost in disasters.
To solve these issues, CTI decided to construct a participation application registration and management system for partner companies. They learned about 'SPIRAL ver.1' from an email received during work. After comparing it with multiple services, they selected 'SPIRAL ver.1' as their system foundation, highly valuing its strong security based on its track record with local governments and financial institutions, as well as its flexibility to be customized and designed according to their own operational processes.
- Overview of the CTI Partner Company Registration System -
With this system, the collection and management of information required for partner company registration can be done online. Upon new registration, when a CTI engineering department staff member registers the email address of the partner company's representative into the system, an invitation email for information input is sent. The partner company's representative can then input the information and apply on the web.
Once input is complete, an email is sent to the engineering department staff, who can download the application information, including attachments, in batch as a PDF. The downloaded PDF data is circulated and approved via the internal workflow. After approval, a number is assigned to each partner company, and the procedure is completed by inputting and registering it into 'SPIRAL ver.1'.
After registration is complete, the partner company is notified by email of the completion of the procedure and their My Page. Subsequently, they can change their registered information from their My Page. When information is changed, the engineering department staff is notified, ensuring the latest information is always maintained. Also, providing a My Page for each partner company enables centralized information dissemination to partner companies, such as distributing surveys.
