This time, the key points I pay special attention to in project management have been organized into the "Project Anomaly Detection Template." Additionally, the "Keep in Touch Template" has been created, summarizing important concepts for building continuous relationships with many clients. Both are based on my own real-life failures. I would be delighted if not only consultants but all business professionals involved in project management could make use of them.
A graduate of the University of Tokyo. After working at beBit, Inc., he joined WACUL, Inc. in 2013. He launched "AI Analyst," an automatic analysis and improvement proposal tool that supports the PDCA cycle of digital marketing, from proposing improvement measures to verifying their effects. In 2019, he established the industry-academia collaborative research institute "WACUL Technology & Marketing Lab." and became its director. Currently, as the director of the institute and CEO, he leads the creation of knowledge, which is the core of the business. In project management, what is the difference between those who can notice signs of trouble and those who cannot? Mr. Kakiuchi says the answer lies in "regular checks from seven perspectives."
This template implements a weekly regular check flow in Jooto based on seven perspectives: Goal, Scope, Schedule, Expectations, Quality, Resources, and Trust. Users check whether each perspective is "Normal" or has an "Anomaly" using a checklist, and if a problem arises, they assign a "Caution" or "Danger" label and record the situation in the comments. By regularly sharing this with a supervisor, the entire team can visualize the project's health.
It is designed as a system that allows teams to replicate the anomaly detection habits that excellent PMs perform daily.
Kakiuchi-Supervised ② "Keep in Touch Template"
The relationship with a client is greatly influenced by the frequency of the person-in-charge's actions and the quality of their correspondence. However, in organizations where multiple staff manage multiple clients, it tends to become difficult to see "who is in contact with which client and to what extent."
The Keep in Touch Template implements a system in Jooto that manages clients in phases: ① Key Person Candidate / ② Key Person Confirmed (Weak Relationship) / ③ Key Person Confirmed (Strong Relationship) / ④ Fan. It automatically detects the contact status from the previous month and notifies the manager. By reviewing the status of each person-in-charge in a monthly report, client relationship management, which tends to be left to individuals, can be visualized and standardized by the team.
