Background of the Service Launch
This service boasts a high share in the real estate investment industry, having been introduced to approximately 40% of the J-REIT (listed REIT) and private REIT markets. It is also widely used by general business corporations that operate real estate funds and real estate rental businesses.
Until now, this service has provided file management functions associated with workflows like lease contract management and construction payment management. However, for those on the front lines of operations, the "strict management of final version documents" and "reduction of costs for providing materials externally for property sales, appraisals, or audits" had become pressing issues.
To meet these needs, we have developed the 'Document Management Option,' which seamlessly integrates with existing data within the service to build a highly functional document management system.
Main Features of the Document Management Option
1. Centralized Management of Final Documents and Advanced Searchability
Centrally manage all documents, from property operations to general business affairs. In addition to the actual file name, users can assign a "document name" within the system and perform precise searches using a variety of attributes such as large/medium/small classifications, purpose, original document storage location, and document date.
2. Seamless Linking with Existing Operational Data
It is possible to link documents with existing data such as lease agreements, construction projects, payments, billing and deposits, tenant masters, and business partner masters. Linked documents can be instantly referenced from each business screen, preventing information fragmentation and significantly improving operational efficiency.
3. "Document Pack" Creation Function to Dramatically Streamline External Sharing
Multiple documents can be bundled into a ZIP format with a single click for bulk download. The feature supports specifying the folder structure within the ZIP file (e.g., by property, by classification), setting passwords, and automatically generating a list of the contained documents, significantly streamlining the process of submitting materials to external parties.
4. Permission Settings and Log Inquiry Function to Strengthen Governance
The system allows for detailed configuration of access levels to the document management option for each user group, as well as access rights based on large/medium/small classifications. Additionally, the creation and download history of document packs can be aggregated and managed as logs, providing a secure design from both information security and internal control perspectives.
In addition to this initiative, we are promoting further enhancements for convenience, including AI-powered automatic classification of document types, automatic organization of names, and reporting from attached documents.
