"R-Shift," a cloud-based shift management system provided by OM Network Co., Ltd. (Headquarters: Niigata City, Niigata Prefecture), supports complex shift operations in various industries, primarily in retail services.
On April 30, 2026, we visited Jexer Fitness & Spa Akabane, operated by JR East Sports Co., Ltd., which runs fitness facilities, and interviewed Mr. Koizumi, who is in charge of shift creation.
The facility has approximately 90 staff members. While operating multiple sections such as the pool, studio, gym, and front desk, it is necessary to flawlessly manage safety management tasks, represented by pool monitoring, school instruction duties, and studio lesson duties.
It has been five years since its introduction in 2021. Currently, they are working to balance complex shift operations and on-site quality by utilizing R-Shift. We asked about their approach to managing the complex shifts unique to the fitness industry and their real-world application methods that have become established on-site. Interview Introduction
Mr. Koizumi: Joined the company in April 2016. After gaining experience at multiple facilities as a fitness staff member, he is currently the Chief at Jexer Fitness & Spa Akabane.
Shift Management in the Fitness Industry Cannot Be Achieved by "Staff Allocation" Alone
Shift management for fitness facilities cannot be achieved by simply allocating staff and adjusting numbers. In facility operations, there are multiple sections such as the pool, studio, gym, and front desk, each with different required staffing levels and skills. In particular, pool monitoring is one of the most critical tasks for safety management, and swimming schools and studio lessons are not tasks that anyone can do; they require specific individuals to be assigned. Therefore, precise shift scheduling is essential for each.
For example, a swimming school cannot be operated simply by assigning someone to "be in charge of the swimming school during this time." In addition to setting classes by age group, detailed operation by swimming ability level is necessary, so it is essential to meticulously organize "who will be in charge of which class." Furthermore, consideration for the physical burden on staff is indispensable. While some staff members want to be in charge of many schools and lessons, excessive work hours can lead to a significant physical load. Therefore, it is necessary to create shifts while balancing instruction duties with other tasks such as desk work, requiring extremely complex adjustments.
Consolidating Shift Tables Separated by Section into One
Before the introduction of R-Shift, the Akabane store managed multiple shift tables by dividing staff work by section.
It is said that the pool, gym, and front desk each had separate shift tables, and these were managed in parallel. Furthermore, staff shift requests were handwritten on paper calendars. Managers had to create shifts while confirming the requests of approximately 90 staff members, posing a risk of overlooked confirmations and transcription errors.
Currently, managers display a single shift table on R-Shift, and staff can check their shifts and submit requests from their smartphones, reducing the burden on both managers and staff.
Previously, I had to adjust while looking at a large amount of paper for the number of staff, but now it's much easier because I can see it all at once on R-Shift. Also, staff can check their shifts regardless of location, whether at home, commuting, or out and about. The ability to check in real-time, even for sudden changes, is a significant benefit on-site.
Shift Management is Work that Supports "Service Quality"
At the Akabane store, important daily tasks such as pool monitoring, school instruction, and studio lessons are carried out concurrently. Creating shifts that allow these to be performed without errors is directly linked to the facility's service quality and safety.
By utilizing R-Shift, they have eliminated missed staff assignments and can quickly identify sections and time slots where staffing is insufficient. Instead of prioritizing specific tasks, the system visualizes and prevents omissions in all important operations, supporting safe and secure daily operations.
"Lesson Program Function" Supports Level-Based Lesson Management
R-Shift is equipped with a "Lesson Program Function" for the fitness industry. In swimming schools and similar programs, detailed management of instructors by age and level is necessary, so this function is utilized as intended for on-site operations. The Akabane store also uses this function to meticulously manage lesson and school assignment shifts.

Furthermore, lesson programs often operate on a similar cycle each month, and once created, they can be carried over to the following months using the copy function. Additionally, if a lesson is mistakenly assigned to a staff member on leave, the system detects it, which helps prevent human error.
The initial registration was a bit challenging, but once it's set up, shift creation becomes much easier from the following month onwards. It's efficient because you only need to check and adjust things like staff leave requests.
New Feature, "Previous Week Copy," Allows Review of Only Necessary Adjustments
Recently, the "copy the previous week's same-day work schedule" function has also been utilized.
Fitness facilities often have a somewhat fixed lineup of staff and work configurations by day of the week, making it compatible with creation based on the previous week. First, the base shift is copied, and then only the parts where leave requests have been entered become "unassigned." R-Shift provides a display that makes unassigned tasks immediately visible, allowing managers to check only the areas that require adjustment and reassign staff.
We no longer have to create everything from scratch. We only need to check the missing parts, which is very efficient.
After the Interview
Takuma Asakawa (Strategy Planning Department, Manager): Leveraging his experience in launching R-Shift operations, he is currently focused on promotional activities.
What was impressive during this interview was that shift management functions not just as personnel allocation, but as "operational design to ensure customers can use the facility with peace of mind."
Not leaving gaps in lessons. Not having vacancies in monitoring duties. And maintaining an environment where instructors can work without overexertion.
I felt that the accumulation of these efforts supports the service quality of fitness facilities.
