Nulab Inc. (Headquarters: Fukuoka City, Fukuoka Prefecture, hereinafter Nulab) announces that its project and task management tool "Backlog" has been implemented by Kaigo Suppli Inc. (Headquarters: Kobe City, Hyogo Prefecture, hereinafter Kaigo Suppli), a provider of business systems and applications for the nursing care industry. Backlog is being utilized as an operational foundation supporting a wide range of tasks, from the company's establishment phase to app development, customer success, and collaboration with external partners.
Kaigo Suppli began using Backlog to manage the "company establishment" project, which was handled by just two employees. Since then, they have consolidated app development, customer management, and collaboration with sales agents within the same environment, establishing a system where internal and external stakeholders can advance their work based on shared information.
*The following are excerpts, edits, and reorganizations of comments from the case study interview article "Managing Company Establishment with Backlog: Project Management Techniques for Advancing as One Team with Internal and External Stakeholders."
Background of Introducing "Backlog"
Kaigo Suppli is an IT vendor that provides business systems and applications for the nursing care industry, born from an internal project at Kobe Digital Labo Inc. They develop and offer products such as the "Care Record App" and "Belongings Check App," which are designed with a focus on the現場 (genba - on-site) perspective. In recent years, they have also focused on "DX support" to reduce the burden on nursing care sites.
When establishing Kaigo Suppli Inc. as a corporation in 2018, they needed to manage a vast number of tasks despite having a small team of only two employees. Before adopting Backlog, they used a different project management tool, but its operational load was high. Therefore, they migrated to Backlog, which was also used by an affiliated company, and began using it to manage the "company establishment" project.
Initiatives Utilizing "Backlog"
Centralized management of "company establishment" tasks enables completion with a small team
Various tasks, including confirmations related to corporate establishment, creation of terms of use, and website production, are managed centrally on Backlog. By organizing tasks using categories and milestones, they have successfully completed the company establishment without any omissions, even with a small team of two.
Unified information sharing with sales agents strengthens collaboration with external partners
In collaboration with sales agents, requests for account issuance, contract-related communications, operational rules, and various templates are consolidated in Backlog. Even with limited opportunities for face-to-face meetings, both parties can grasp each other's work status, which leads to the development of daily trust.
Sharing information and the rationale behind decisions enables autonomous operational management
For app development and design work, issues are created for each function and screen to manage progress, request reviews, and handle bug tracking. Minutes from the development team's regular meetings are also stored in Backlog, allowing members who were not present at the meeting to review the content as needed.
By retaining the history of discussions and decisions in issues and meeting minutes, it becomes possible to understand "why a particular specification was chosen" and "what considerations are currently underway," leading to cross-departmental collaboration and autonomous decision-making.
Comments from Kaigo Suppli Representatives
Left: Senior Manager Uchiumi, Right: Designer Fujikoshi
Without Backlog, information related to user support would have been scattered across multiple tools like email and chat, making it impossible to grasp the overall progress. With Backlog, we can visualize processing status and advance work even with support staff from sales agents who operate asynchronously. Although we meet in person only once or twice a year, seeing each other's work allows us to build a strong sense of trust, as if we were working together every day.
Another appeal is its user-friendly UI, which is approachable even for non-engineers. Members who are not familiar with IT tools can easily find information on their own and naturally understand the situation. The ease of use for everyone is, in my opinion, the greatest value of Backlog.
