Background of Implementation: Scattered Field Knowledge and Challenges in Work Speed and Reproducibility
Shinto Tsushin, which operates diverse businesses centered on advertising, including exhibitions, influencer marketing, mail order, regional revitalization, SDGs, and consulting, previously faced a situation where knowledge from project planning and proposals, as well as operational information, was scattered across departments, individuals, and various tools. There was no "common information management foundation" in place to accumulate, share, and utilize this as organizational assets.
As a result, past learnings were not fully utilized, leading to issues such as recreating materials from scratch for each project or needing to make inquiries to obtain necessary information, which compromised work speed and reproducibility. Furthermore, due to insufficient internal rules and manuals, new employees often struggled to find necessary information, making it difficult for them to become self-sufficient quickly.
Given this background, Shinto Tsushin initiated a redesign of its information management foundation, led by the AI Promotion Office and the Corporate Headquarters, and spent approximately one year reviewing it.
Deciding Factor for Adoption: Quick Utilization by Everyone with Notion AI via Flexible Permission Design, and Consolidation of AI Tools
After comparing it with other companies' tools, Shinto Tsushin decided to adopt Notion as its company-wide information management foundation to support both "information consolidation" and "AI utilization."
The points for which Notion was evaluated are primarily the following three:
- Through flexible permission settings, information can be consolidated by department or project while protecting confidential information, and workspaces outside of company management can be controlled and regulated.
- Due to the richness of functions and UI necessary for information accumulation and sharing, knowledge operation with participation by all is possible, without depending on IT skills.
- In addition to cross-searching and utilizing information with Notion AI, multiple LLMs (ChatGPT, Claude, Gemini, etc.) can be used on Notion, allowing for the consolidation of AI tools and the alignment of the entire company.
