Currently, in the medical, nursing care, and welfare sectors, the diversification of recruitment channels has led to the widespread use of multiple platforms, increasing the workload associated with consolidating application information and detecting duplicate applications.

By implementing Job Medley ATS, facilities can centrally manage application information and selection progress from various sources such as their own websites, job boards, and recruitment agencies. Furthermore, it enables automatic integration with "Job Medley," Japan's largest medical and nursing care job site. The system also reduces staff workload through automation of tasks like transcribing and consolidating application information, and checking for duplicate applications, as well as through AI functions. This supports the creation of an environment where staff can concentrate on their core duties, such as patient and user care and communication.

Background of Development

Medley's human resources platform business operates under the mission of "fully supporting those who provide satisfactory medical and welfare services," offering operational support in various areas related to "working," from job changes and recruitment to training and retention for medical, nursing care, and welfare facilities.

Currently, in the recruitment activities of the medical, nursing care, and welfare sectors, which face severe labor shortages, many facilities use multiple job sites in parallel. However, their operations are often inefficient, involving analog paper-based management or manual transcription to spreadsheets.

This results in a burden on staff for checking information across different platforms and cross-referencing duplicate candidates. Moreover, the accumulation of manual data entry tasks can lead to communication errors with candidates and detract from time that should be prioritized for dialogue with candidates.

Job Medley ATS was developed to alleviate this operational burden on facilities and support the establishment of a sustainable recruitment system. In this development, we actively incorporated generative AI into the development process, achieving dramatic improvements in development efficiency and cost optimization while maintaining high quality standards.

In conjunction with the launch, a free usage campaign will be implemented until the end of December 2026 for facilities using Job Medley. *1

・ Leveraging years of experience supporting recruitment in the field through Job Medley, the system features a highly practical design that addresses challenges difficult for existing general ATS solutions, such as qualification management, multi-site coordination, and a user-friendly UI/UX for on-site staff.

・ Centralized Management of Recruitment Channel Information and Automatic Detection of Duplicate Applications

・ It centrally manages application information from multiple recruitment channels, including company websites, job boards, and recruitment agencies. As a result, duplicate applications from different channels are automatically detected, and all selection information is consolidated and organized on a single screen, significantly reducing staff confirmation efforts.

・ Seamless Automatic Integration with Job Medley

・ Applicants from Job Medley are automatically registered in a list with their name, qualifications, and contact information. Furthermore, updating the selection status automatically reflects on the Job Medley side, eliminating the need for separate reporting *2 and minimizing the risk of reporting omissions or input errors.

・ Recruitment Operation Efficiency through Generative AI

・ Generative AI supports staff operational efficiency through features such as automatic transcription of interview content, automatic import of resumes, and message draft creation for candidates. Future enhancements include creating interview summaries based on evaluation criteria and supporting document screening according to set rules.

【Comments from facilities that used the trial】

Previously, we used spreadsheets and multiple tools, which often led to information transcription errors and discrepancies in communication with various recruitment agencies. With the introduction of this system, information is centralized on the candidate page, allowing us to complete tasks from resume review to communication without switching screens, thereby improving operational efficiency. The operation is also simple and highly visible, allowing our internal members to quickly adapt. The speed of candidate response has also increased, leading to higher quality recruitment activities.

Future Developments

Moving forward, to achieve our mission, we will continue to promote DX in the medical, nursing care, and welfare sectors and strive to establish a higher quality recruitment environment. We will further accelerate feature development based on technology, including generative AI, to build mechanisms that fundamentally reduce the burden associated with recruitment operations, such as automatic interview scheduling and digitalization of onboarding procedures.
