(hereafter Square Enix) has introduced "SVF Cloud," a cloud document service under the digital document platform "SVF" brand, in conjunction with the renewal of its core system. Through flexible integration with other systems, it achieves consistent document output and stable operation that can withstand massive document output.
Background Square Enix, a comprehensive entertainment provider, upgraded its core system to SAP S/4HANA to build a foundation for growth over the next 10 years. In addition, workflow operations such as approval requests, purchasing requests, and equipment management have been integrated into Pega Platform. Along with these system migrations, the company worked on migrating its document infrastructure to the cloud to construct a mechanism that can consistently create and operate documents in a cloud environment. Documents that record and prove transactions and business details are essential for business, and stable operation is required for business documents such as quotes and invoices exchanged between companies. In particular, there were many requests from the business frontline to "continue outputting exactly the same documents as the current ones," requiring meticulous layouts and precision unique to Japanese companies, such as line thickness and position, and character spacing. "SVF Cloud" was adopted as the only solution to solve these challenges. The reasons for adoption are as follows: - Reliability and overwhelming stability of the product backed by SVF's long track record. - Ease of document development. - Precise document requirements unique to Japanese companies (ruled lines, display position layouts, etc.).
Operation status after introduction The new core system started operation in May 2023. Currently, in addition to accounting-related documents output from SAP S/4HANA, the accounting core, various reports such as invoices, quotes, and purchase orders issued from the front-end Pega Platform are all output via SVF Cloud. As a result, a unified document output infrastructure has been established on the cloud, securing excellent processing performance for mass output and real-time output, allowing stable output and operation of many documents generated daily. Taking the opportunity of the system renewal, they also reviewed business processes and document systems, established a policy to centralize document creation and management in SVF Cloud, and ultimately narrowed down to about 50 important documents. By consolidating engineer skills and unifying specifications and system standards, it has led to the stable operation of the document infrastructure with anticipated reductions in maintenance costs. Moving forward, the company plans to work on advancing business processes using generative AI and consider further digitalization and integration, including the automation of tasks that involve human intervention.
