This has reduced manual work and enabled near real-time visibility into vendor management status.

Programmed is a company that provides business, workforce, and maintenance services in Australia and New Zealand. It offers facility management, property maintenance, training, and workforce solutions to over 10,000 customers in key industries such as mining, government, education, and infrastructure. Given the scale of its operations, vendor information is critical infrastructure. If this information is dispersed across different business units and systems, even minor data inconsistencies can quickly accumulate and escalate into significant business risks. Therefore, Programmed aimed to achieve more consistent management of over 18,000 active vendors across its building and facility management business.

In an environment lacking a single source of truth, selecting the right vendors took time, and compliance checks were potentially duplicated across business units. To ensure consistent understanding of vendor information across the entire company, Programmed adopted Rapid Global as the foundation for vendor onboarding and compliance management, initiating the construction of a centralized vendor management system.

We needed to ensure consistency in vendor data across onboarding, compliance, finance, and operational systems, eliminating duplicate compliance checks and conflicting data. Simultaneously, we wanted an environment where all teams could understand the current status of vendors in near real-time.

Programmed collaborated with Boomi partner Adaptiv to implement the Data Hub and Integration capabilities of the Boomi Enterprise Platform for the Rapid project. Combined with Rapid Global, this built the data foundation and integration mechanisms necessary to connect vendor systems.

When evaluating Programmed's requirements, it was clear that Boomi's combination of data integration and master data management was the optimal choice. This platform directly addressed the vendor data challenges Programmed was facing. By placing vendor data at the center of the solution, we could build a properly managed integrated data foundation and lay the groundwork for a scalable architecture that could support future business growth, which we foresaw from the outset.

Currently, Boomi Data Hub serves as the foundation for master data management of Programmed's vendor data. Critical profile information such as compliance status, certifications, and insurance details can now be controlled as a centrally managed "golden record." With near real-time updates across systems, staff no longer need to reconcile data discrepancies or determine which system holds the latest information. The Data Hub's Quarantine feature automatically detects and isolates inconsistent data ingested from upstream systems, preventing erroneous data from propagating to other systems. This is a crucial data quality management function supporting Programmed's daily operations.

Furthermore, Boomi Integration has connected Programmed's entire vendor lifecycle across key systems. This includes Rapid Global for onboarding and compliance, Microsoft D365 Finance & Operations (D365 F&O) for ERP and financial processing, and the work order management platform for downstream procurement and operational execution.

Now, vendor information flows smoothly between systems, significantly reducing manual data re-entry. Compliance and procurement departments spend less time verifying, transcribing, and reconciling data, and field operations teams can accurately understand vendor status, enabling them to make decisions with greater confidence.

This project involved significant behind-the-scenes innovations. Notably, the integration with D365 Finance & Operations required processing multiple records for a single vendor, resulting in hundreds of API requests per execution and tens of thousands of API requests during the initial data migration. Adaptiv utilized Boomi Event Streams to decouple the results of batch processing, allowing them to be processed as individual executions per vendor. This reduced the number of API requests per execution, simplified monitoring of processing status, and enabled faster identification of issues when they occurred. Similar methods have been applied to other system integrations where decoupled processing is effective.
