Background for the Launch of "SAIS InDocs"
In recent years, the declining birthrate and aging population in Japan have led to a severe labor shortage in back-office operations. Administrative tasks, including sales support, still involve a significant amount of confirmation and transcription work across Excel, PDF, and paper documents, contributing to operational silos and long working hours. AXLBIT has received consultations regarding challenges such as "difficulty in automation due to varying invoice formats for each customer" and "operations becoming siloed due to reliance on specific personnel." To address these issues, AXLBIT developed "SAIS InDocs," an AI agent service for back-office operations. This service enables AI to understand multiple documents such as estimates, orders, applications, delivery slips, and invoices, automating content verification and system transcription to improve operational efficiency and reduce silos. AI agents that have learned operational manuals and confirmation rules will take over the document verification, transcription, and data entry tasks previously performed by humans, supporting improved operational efficiency and the elimination of silos.

1. Verification of Incorrect Order Entry
The task of cross-referencing order forms that vary by customer with our company's quotation and application forms required significant effort. "SAIS InDocs" automates the cross-referencing of documents by having AI agents learn operational manuals and confirmation rules.
2. Registration of Received Order Information
Registering order information into the core system while referring to multiple files is one of the most time-consuming and labor-intensive tasks. "SAIS InDocs" automatically reads document content, extracts necessary information, and automates the transcription process into the core system.
3. Record Creation in Contract Management Excel
It also supports the task of collecting necessary information from multiple files such as order forms, invoices, and receipts, and transcribing it into a management ledger. AI extracts the required information and automates record creation in contract management Excel, thereby improving the efficiency of back-office operations.
"Ambient AI Agent" that Completes Tasks with Just File Uploads
In traditional operations, personnel would confirm documents and cross-reference/input information while referring to internal systems and related documents. SAIS InDocs employs a multi-agent architecture, which, as needed, instructs specialized agents with expertise in specific tasks, faithfully replicating the complex confirmation, transcription, and input work previously done by humans. With SAIS InDocs, simply handing over files to the supervisory agent allows it to autonomously perform tasks according to pre-set rules. It realizes a world where tasks are completed just by uploading files.
