ASK Inc. (Headquarters: Chuo-ku, Tokyo; President: Yutaka Izumisawa), which operates a condominium front desk service contract business, will develop and start offering an automated response chat feature utilizing generative AI technology in its condominium DX comprehensive support tool, 'OICOS'. The greatest feature of this function is that it eliminates the traditional need for one-by-one Q&A input; the AI derives answers simply by storing reference documents.
In recent years, regarding responses to resident inquiries, there has been a strong demand for quick, non-face-to-face replies and a reduction in the operational burden on the management side. The new OICOS feature provides an immediate solution to these frontline challenges, realizing reduced operational load and improved resident satisfaction.
[Key Features]
1. A system that yields answers just by storing files
By simply uploading documents such as management rules, notices, and manuals to OICOS, the AI automatically references their contents to answer questions. There is no need to register Q&As one by one as was done previously. Furthermore, a wide variety of file formats are supported, including Word, Excel, PDF, and JPEG.
2. Enhanced convenience through immediate responses
Residents can immediately obtain necessary information 24 hours a day, even outside the management office's business hours. This reduces wait times for inquiries and heightens resident satisfaction and trust.
It also directly leads to a reduction in the number of phone calls handled by front desk staff and call centers.
3. Secure operation with administrator correction features
For incorrect AI answers, a system is provided allowing administrators to correct vocabulary and answer content, supporting answer quality improvement and operational management.
Initially, we will introduce this feature in April as an answer function for questions from users on the pre-login screen. From September onward, we will gradually contact existing users to begin providing this feature to them as well.
Since its launch in 2007, OICOS is currently used by over 200,000 households across more than 1,000 properties (including OEM provisions, university student dormitories, and corporate building conference room reservation systems). It has consistently maintained the top market share (*Note 1) as a condominium management website (cloud service). We have progressively improved the convenience of this service by omitting key handovers when using common facilities after reservations via integration with key maker systems, supporting online payment functions including credit cards, and strengthening collaboration with housing equipment manufacturers such as intercom and delivery locker systems. We will continue to add functions to meet needs in condominium management and resident services.
