## Background of the Event

Generative AI is a daily topic in the news, but many small and medium-sized enterprises (SMEs) still express concerns such as "I don't know where to start" or "I've tried ChatGPT, but I can't apply it to my work."

On the other hand, "NG adoption patterns" are also spreading, such as introducing AI training with unlimited viewing without a clear objective, or outsourcing large-scale training programs costing millions of yen without proper planning. While employees who attended might be satisfied, saying "I learned a lot," their work often remains unchanged, creating a risk of serious "division" between management and the front lines.

The Rakusai Business Support Desk of the Kyoto Chamber of Commerce and Industry received consultations from small businesses with 2-5 employees, such as "I want to use AI, but I don't know where to start" and "I'm worried about information leaks." This seminar was realized when the chamber noticed the activities of our "AI Tool Gallery" and requested a lecture. Our representative, Shinya Yamahara, has personally tested over 600 AI tools and presented his expertise as a practitioner capable of providing "criteria for selecting AI" tailored to the industries and challenges of SMEs.

## Seminar Content

We set three goals for the seminar:

1. **Understand Your Current Position** — Know where your company stands among the three stages of AI utilization.
2. **Decide Your Next Step for Tomorrow** — Turn vague anxiety into concrete action.
3. **Avoid Pitfalls in Adoption Patterns** — Prevent ineffective investments.

The 90-minute program consisted of the following six parts:

### 1. Generative AI Status & Roadmap

We explained that AI utilization has three stages: "Tool Selection," "Work Improvement," and "Full-scale Implementation," and that understanding your company's current stage is the starting point. We also presented a roadmap for organizing your company's current position using the two axes of "Phase" and "Mechanism."

### 2. How to Choose AI Tools (Step 1)

We introduced the features and appropriate uses of major tools such as ChatGPT, Gemini, Copilot, Perplexity, and Notion AI.

"I personally invest approximately ¥130,000 per month, or ¥1,560,000 per year, in AI tools for comparison and verification. Based on this knowledge, I will share the criteria for selecting tools that suit your industry and challenges," explained with a perspective unique to a practitioner.

We also specifically introduced cost-effective options that SMEs can start with immediately, such as the Google Workspace business plan (which allows use of Gemini Pro, NotebookLM Pro, etc., for about ¥1,700 per month).

### 3. Integrating into Work (Step 2)

We introduced methods to transition from "knowing" AI tools to "being able to use them in work." We demonstrated practical examples relevant to the daily operations of SMEs, such as creating estimates, back-office tasks, SNS management, and handling routine emails, while operating the AI tools live.

### 4. Reasons for Lack of Generative AI Penetration and Countermeasures

We discussed the "Two Major NG Patterns for AI Adoption Failures": (1) introducing AI training with unlimited viewing without a clear purpose, and (2) immediately outsourcing large-scale training programs costing millions of yen. We structurally explained why these lead to a "division between management and the front lines." We also conveyed the message that "for company-wide adoption to succeed, it is a prerequisite for executives and managers themselves to master AI first."

### 5. Building a Foundation for Safe Usage

We explained how to build a foundation for SMEs to safely utilize AI, covering aspects such as information leakage risks, government AI guidelines, limitations of free tools, security measures, and key points for employee training.

We concluded the seminar by individually answering questions from the participants.
