SoLabo Inc. (Headquarters: Shibuya-ku, Tokyo; Representative Director: Koichi Tahara; hereinafter 'SoLabo') is pleased to support the 'freee × TaxSys Utilization and Retention Support' demonstration project by SoNiC Accounting Office and Spica Tax Accountant Corporation, as part of TAX GROUP's initiatives to support the evolution of the tax accountant industry.
This project will deploy the expertise of SoNiC Accounting Office, which has established a 100% cloud accounting operation and a fully remote system, and has achieved approximately a 50% reduction in bookkeeping workload through its own TaxSys utilization, to the operations of Spica Tax Accountant Corporation.
The goal is not merely to introduce tools, but to make the productivity improvement model for accounting firms reproducible by ensuring freee and TaxSys are fully utilized and established in practice.
Project Background
In the tax accountant industry, the introduction of tools that lead to operational efficiency, such as AI, cloud accounting, AI-OCR, and Google Workspace, is progressing.
However, in the actual field of accounting firms, there are many cases where simply introducing tools does not lead to productivity improvement.
For example, there are challenges such as:
- Even after introducing freee, only some staff can fully utilize it. - Input rules and verification flows are not standardized. - Tasks are dependent on the representative or specific individuals. - Even after introducing AI-OCR tools like TaxSys, the preceding and succeeding workflows are not properly organized. - It takes time for new operations to become established among staff.
For accounting firms to improve productivity, not only the tools themselves but also operational design and implementation support to ensure their effective use in the field are indispensable.
Therefore, as part of TAX GROUP's initiatives, SoLabo will support this demonstration project to deploy SoNiC Accounting Office's practical knowledge of freee × TaxSys utilization to improve the operations of Spica Tax Accountant Corporation.
Project Overview
In this project, SoNiC Accounting Office's expertise in cloud accounting operations, full remote systems, and TaxSys utilization, cultivated within its own firm, will be deployed to the operations of Spica Tax Accountant Corporation.
Spica Tax Accountant Corporation is working to improve productivity using freee and TaxSys.
However, there are challenges in establishing operations and permeating them among staff, such as standardizing workflows, dividing roles, and designing training.
SoNiC Accounting Office has achieved 100% cloud accounting operations and built a system where work can be done in a fully remote environment.
Furthermore, by utilizing TaxSys, it has achieved approximately a 50% reduction in bookkeeping workload in its own operations.
In this demonstration project, based on SoNiC Accounting Office's expertise, operational design tailored to Spica's operations will be carried out, and support for the utilization and retention of freee × TaxSys will be provided.
Planned Implementation Details
1. Current Situation Assessment
We will assess Spica Tax Accountant Corporation's current workflows, freee usage, TaxSys integration status, and staff proficiency to visualize where operations are bottlenecked.
2. Organization of freee × TaxSys Operational Flow
We will organize the flow from input, verification, registration, to sharing, clarifying roles and verification points for each person in charge.
We will design a workflow that can be operated smoothly in the field, including the pre-processing steps connecting TaxSys to freee.
3. Development of Operational Rules for Staff
We will develop operational rules and simple manuals to ensure that even inexperienced or less experienced staff can perform tasks with a consistent quality.
4. On-site Support
Based on actual cases, we will provide support for establishment through weekly meetings, etc., while identifying operational stumbling blocks and improvement points.
5. Visualization and Case Study of Results
We will visualize results by checking workload reduction, training time reduction, changes in monthly processing volume, freee utilization rate, and reproducibility among staff.
In the future, we will also consider disseminating this as a productivity improvement model for accounting firms through joint case study articles and seminars.
Desired Outcomes
This project aims for the following outcomes:
- Establishment of a system where freee can be operated without dependence on specific individuals. - Standardization of the integration flow from TaxSys to freee. - Reduction of stagnation time from input, verification, to registration. - Operational design that allows even inexperienced or less experienced staff to perform tasks. - Improvement in monthly processing volume. - Reduction in training workload. - Visualization of SoNiC Accounting Office's expertise as the 'SoNiC Model'. - Verification of the reproducibility of the accounting firm productivity improvement model.
SoNiC Accounting Office's Challenge
SoNiC Accounting Office is an accounting firm that has established 100% cloud accounting operations and a fully remote system, and has achieved approximately a 50% reduction in bookkeeping workload through TaxSys utilization. The firm's strength is not merely introducing cloud accounting or TaxSys.
