Background and Challenges: Personalization and Maintaining Employee-First Work Styles Reached Their Limit

For many years, Okikita Seisakusho managed attendance and payroll using paper timecards, paper application forms, and Excel. However, as the company grew to over 60 employees, the man-hours required for cross-referencing handwritten timecards with data increased, making the concentration of work on the person in charge a serious issue.

Furthermore, the company implemented flexible work arrangements such as "mid-day breaks and re-entry" to accommodate part-time employees, allowing them to align their work with their children's school events. However, these flexible operations pushed the limits of analog management. In addition, with the urgent need to respond quickly to successive legal revisions and changes in social insurance rates, it became an even more pressing issue to eliminate the risk of errors and delays caused by manual work and transition to a highly transparent labor management system.

BOD's One-Stop Support Established Reproducible Complex Custom Rules and a Self-Sufficient System

In this case, we challenged ourselves to systemize without compromise to maintain the employee-first flexible work style that Okikita Seisakusho values. What was particularly unusual was the implementation of an extremely complex calculation logic that automatically links data from the final week of the previous month to determine overtime exceeding "40 hours per week" when the month changes mid-week. The BOD support team meticulously deciphered these complex labor rules one by one and implemented them into both systems in a way that reflected actual operations.

Additionally, instead of dispersing points of contact for the implementation of two systems with different characteristics, BOD, which was knowledgeable about both, acted as a "single point of contact" and provided one-stop support, including integration with the core system. Rather than a "turnkey" approach that simply delegates initial setup, we adopted an "educational, supportive approach" where we worked alongside the client, carefully explaining the system with the goal of enabling the担当者 (person in charge) to operate it independently after the support concluded. This prevented the system from becoming a black box after implementation and established a truly self-sufficient system.

Post-Implementation Results: 75% Reduction in Attendance Verification, Achieving Both Paperless Operations and Peace of Mind Regarding Legal Changes

As a result of the stable operation of the cloud system, the work of cross-referencing timecards with input data, which used to take 4-5 hours per month, was reduced to about 1 hour after implementation, achieving a man-hour reduction of approximately 75%.

Furthermore, the man-hours for labor procedures such as annual renewals and the creation of separation notices, which previously took about 8 hours, have drastically decreased to 1-2 hours, less than one-fourth of the previous time.

In addition, the enormous effort of printing, enclosing, and handing out payslips to over 60 employees has been completely eliminated, realizing paperless operations. Changes in social insurance rates are now automatically handled by the system, dispelling anxieties about legal revisions and establishing a foundation for highly transparent labor management based on objective records.
