At the company, the process of confirming payments for educational travel expenses involved staff manually reconciling payment data from guardians with rosters provided by schools (which came in various formats such as paper, PDF, and Excel), line by line. This process incurred significant time and psychological burden. This task was identified as the initial target for efficiency improvement, and the tool was developed.

Solution: Data Extraction and Reconciliation Using Google Workspace Studio

For the initial target of efficiency improvement, we adopted Google Workspace Studio, which was just released to all Google account users in March 2026, to advance efficiency.

1. **Reading Unstructured Data:** Using Gemini, the AI accurately extracts only the necessary items from rosters with inconsistent layouts, such as PDFs and images.

2. **Advanced Automated Reconciliation Logic:** By using GAS, advanced matching is performed, considering the presence of furigana and variations in Kanji notation, and the results are automatically color-coded.

3. **Low-Cost, Short-Term Implementation:** Built on the existing Google Workspace environment, it suppresses new large-scale investments and can be provided with overwhelming speed, from commencement to operation, in just one month.

As a result, the reconciliation work, which previously took several hours, now only requires placing two files into a specific folder, and the reconciliation itself is completed in a few minutes, simultaneously achieving improved accuracy and accelerated operations.

Future Outlook: Expansion to Accounting, Project Management, and Other Operations

Earth Travel Mito and Udom plan to further promote DX, including improving the efficiency of accounting operations such as automatic generation of invoices and receipts, linking project management systems with calendars, and automatic creation of itineraries and estimates.
